01Record the vehicle before pickup
Take clear photos of the vehicle from multiple angles and note visible marks before handover. Remove loose personal items unless the booking terms expressly allow them, and keep a copy of the condition record.
The pickup contact and destination contact should both know the vehicle details, keys being handed over and any special operating instructions. A simple record avoids ambiguity later.
02Prepare the documents and keys
Confirm which identity and vehicle documents are required for the specific movement. Keep originals with the owner unless the carrier genuinely needs a document for transit; share copies where appropriate.
Hand over only the keys needed for movement and note how many were provided. Ask the booking team to confirm document requirements before pickup rather than discovering a missing item at the loading point.

04Treat loading as a controlled handover
Loading should be supervised and the vehicle should be positioned, secured and checked according to the chosen carrier method. Low-clearance, modified or non-running vehicles may need a different loading approach.
Do not rely only on verbal assurances. The pickup record, vehicle condition and booking reference should connect the vehicle to the specific transport job before the carrier departs.
05Agree how transit updates will be shared
Status visibility varies by carrier and route. Confirm whether updates will come through an operations coordinator, tracking link, driver contact or scheduled messages.
A realistic transit window is more useful than an exact promise that ignores route conditions and delivery sequencing. If timing is critical, make that requirement clear before booking.
06Inspect before accepting delivery
At destination, compare the vehicle with the pickup condition notes before the handover is closed. Check obvious exterior condition, keys and any documents or accessories that travelled with the vehicle.
If something needs attention, record it promptly and follow the documented escalation or claims process. Keep the booking and condition records until the move is fully resolved.
